Implementation of B2B systems on Magento 2 for manufacturers and distributors

As a company scales B2B sales, order processing via phone and email becomes a bottleneck. The customer service department (CSO) is overwhelmed by transferring orders to the ERP system, and salespeople are focused on checking inventory instead of securing new contracts. The second scenario is that sales decline because customers prefer to place orders online, without contacting the sales department.

Implementing a B2B system on Magento 2 shifts the burden of order processing to an online platform. We create an environment where customers have 24/7 access to their individual price lists, buyer limits, and invoices, and the system automatically exchanges this data with the ERP.

Why is Magento 2 good for B2B?

Choosing Magento 2 is an investment in scalability. This engine was designed to handle very large product catalogs (hundreds of thousands of indexes) and multi-level architectures.

Speed of action

Magento 2 features advanced data indexing, significantly accelerating the reading and exchange of all information.

Development flexibility

You can easily expand your store with new functionalities, language versions or foreign sales.

Security

Constant updates of the Magento 2 system increase the security of the online store and users against potential attacks.

High performance

The Magento 2 system offers high performance. Order fulfillment runs smoothly, regardless of increased traffic or hundreds of thousands of products in the catalog.

System integrations

You'll effectively integrate with your company's existing systems. These include ERP systems, accounting software, payment systems, marketplaces, and many others.

multistore

Thanks to Magento multistore, you can successfully manage multiple online stores using a single administration panel.

What exactly does a B2B system do? Features available in Magento 2

Magento 2 has native mechanisms that reflect the complex relationships found in wholesale trade. We noticed recurring needs among our customers, so we built some advanced B2B functionalities ourselves – they're immediately ready for implementation within the Sellina system . What features are we implementing?

Sales and orders

24/7 B2B Portal
Customers place orders independently, without involving a salesperson. The salesperson is left to handle matters that truly require a conversation.

Re-ordering
The customer has access to the history and can return to the same order to retry it.

Shopping lists and multiple baskets
B2B customers don't just buy once and at random—they have fixed product lists they can save, edit, and order whenever they want.

Offer module
Enabling merchants to create, send and negotiate personalized offers directly in the system with the option to easily convert the offer to an order.

Order management
Full control over the order lifecycle – from placement, through fulfillment, to shipping and invoicing, with easy access to order history for customers and service.

Customer organization management

Multiple user accounts within one organization
Each user may have different permissions and act within their competences.

Assigning a salesperson to a customer
Each customer sees their own account manager. A salesperson has a view of all customers below them.

GUS validation upon registration
Automatic company verification when creating an account without having to manually enter all the data.

Extensive customer acceptance module
You control who and under what conditions has access to the B2B portal.

Price lists and terms and conditions

Advanced price listsPossibility to define individual prices, discounts and volume thresholds for different customer groups or specific contracts, ensuring pricing flexibility.

Presentation of different prices depending on the type of user
A retailer sees things differently, a distributor sees things differently, and a trading partner sees things differently – everything happens in the same system.

Loyalty systemsImplementing point programs, discount levels, or special promotions that reward loyal customers and encourage repeat purchases

After-sales service

Complaints module
The customer can submit a complaint and manage it directly through the platform, which facilitates all communication.

Returns
Returns are handled through the customer portal, which costs less time than handling the process manually.

Statistics and dashboardsAccess to clear reports and visualizations of sales data, customer behavior and key performance indicators (KPIs), supporting informed business decision-making.

Sales and expansion

International Sales
Support for multiple currencies, languages and tax rates in one system.

Dropshipping
Automatic transfer of orders to suppliers and synchronization of inventory levels.

Product configurator
The customer configures the complex product themselves – variants, options, accessories – with a real-time price preview.

Payments and trade credits

Credit limits and deferred payments
Ability to configure rules related to exceeding the limit and block clients for this exceedance.

Trade creditsEffective management of credit limits for contractors, automation of verification and monitoring of timely repayments, which minimizes financial risk.

Five Pitfalls of Integrating ERP with a B2B Platform and How to Avoid Them

01
"It'll work out somehow. It's just an order."

Procurement seems like a straightforward area to integrate – but that's a false assumption. We precisely define the scope of automation and synchronization requirements before the project, not through trial and error after launch.

02
Lack of control over the entire integration

It's not enough to just "plug something in." Before each integration, we work with the client to develop and visualize the processes the integration will support—data flows, touchpoints, and unique scenarios.

03
Poor selection of integration tool

Not every ERP allows for easy integration. For example, Streamsoft Prestiż doesn't have an open API – the ERP provider must develop their own integration. We verify technical constraints before we begin – not during the project. Failure to do so results in weeks of delay and unforeseen costs.

04
For a wide range of integration

Automating everything sounds good, but it costs significantly more and can complicate the project. We help you distinguish what's truly necessary for integration and what can be bypassed or implemented manually without impacting the business.

05
Simultaneous changes of customer addresses

Without a clearly defined synchronization logic: two different delivery addresses, incorrect invoices, and chaos in the customer database. We ensure consistent data in each system from the integration planning stage.

FAQ

Frequently asked questions about B2B systems and platforms

How long does it take on average to implement a B2B system?

Implementation time varies and depends on many factors, such as project complexity, the scope of required functionality, the number of integrations, and the need for data migration. Standard implementations typically take 3 to 6 months, but more complex projects may require more time. We always establish a precise timeline after conducting a Pre-Implementation Analysis.

What determines the cost of implementing a B2B system?

The cost of implementing a B2B system is priced individually for each project. The main factors influencing the price include: the chosen platform (Magento vs. a dedicated solution), the scope of standard and custom functionalities, the number and complexity of integrations with external systems, the scope of data migration, and any additional services (e.g., UX/UI design, advanced training). A detailed quote is provided after a thorough needs assessment or based on a Pre-Implementation Analysis.

Does the Cognize B2B system integrate with an ERP system?

Yes, we have extensive experience in integrating B2B systems with various ERP systems, including those popular on the Polish market such as Comarch Optima, Comarch XL, Subiekt GT/Nexo, Symfonia, as well as with SAP and Streamsoft Prestiż systems.

What does technical support look like after system implementation?

Each implementation is covered by a warranty period. After its completion, we offer flexible technical support and maintenance packages (SLAs) tailored to the client's needs. We provide ongoing support, system updates, and the ability to further develop the platform with new functionalities.

When is it better to choose a B2B system based on Magento and when a dedicated solution?

A Magento 2-based B2B system is a good choice when you need a proven, scalable platform with a rich set of standard features and access to numerous ready-made extensions, which can speed up implementation. We recommend a dedicated solution when your business processes are highly unique, require custom functionality unavailable in off-the-shelf platforms, or require maximum flexibility in system development. We'll help you determine the best choice during a free consultation.

Do you offer data migration from the old system?

Yes, migrating key data (e.g., customer database, products, order history) from the legacy system to the new B2B platform is a standard element of our implementations. The scope and method of migration are determined during the project analysis phase.

Do you provide training for our employees in using the B2B system?

Yes, after implementation, we conduct dedicated training for system administrators and end users (e.g. sales team, customer service) to ensure a smooth start to work with the new B2B platform.

What technical requirements must our company meet for the new B2B platform?

For Magento-based systems (hosted on-site or at the client's premises) and dedicated systems, it's essential to ensure a suitable hosting/server environment—we determine its specifications during the analysis. End users only need internet access and a current web browser. Integration may require access to external systems' APIs.

What if I want to change agency or engage my own IT team?

Magento 2 is open source with one of the largest developer communities in the world – both agencies and internal teams can handle a system built on this engine. If your implementation is based on Sellina, there's no need to worry – we provide full documentation, and the lack of a vendor lock is one of the advantages of this solution.

Is Magento 2 suitable for a company that has both B2B and B2C customers?

Yes, this is one of the most common scenarios. A single admin panel manages both channels, with different prices, views, and terms for each customer type.

How do I know Magento 2 is the right choice?

If you have a complex product catalog, individual price lists for your customers, and require ERP integration, Magento 2 is likely the right solution. If not, we'll tell you directly during the consultation. We don't sell solutions that don't fit the client's scale.

Does Sellina have B2B functionalities that standard Magento 2 does not have?

Yes. Sellina is based on the Magento 2 engine, but we noticed recurring needs among our clients and added advanced B2B functionalities.

Key features include advanced merchant credit and deferred payment management (with configurable rules for blocking customers when their limit is exceeded), shopping lists and multiple carts for a single customer, managing multiple users within a single organization, displaying different prices per user type, GUS validation upon registration, an extensive customer acceptance module, and merchant-to-customer assignment. These features are not included in the standard Magento 2 Open Source installation.

Will Magento 2 support our complex pricing policy and multi-level discounts?

In B2B commerce, price lists are often based on hundreds of individual terms, limits, and discounts linked to the ERP system. Although Magento has native wholesale pricing mechanisms, for highly complex business logic, we implement our Pricing Application. This dedicated microservice handles the calculation burden and asynchronously recalculates the terms of trade for a given customer. This reduces the load on the main ERP system, allowing customers to see their individual prices in their shopping cart in a fraction of a second, without slowing down the platform.

Will the platform be able to handle a database of tens of thousands of products and hundreds of technical attributes?

The Magento engine can easily handle hundreds of thousands of indexes, but manually managing such a vast number of parameters from the store dashboard is a huge burden for the team. To prevent this, for complex product ranges, we recommend implementing a PIM system (Akeneo or Ergonode). PIM becomes a central place for managing product information. The team can conveniently standardize attributes, descriptions, and variants, and then automatically feed this organized data into the Magento B2B platform. You can be sure that the specifications are error-free, and the time required to update the offer is reduced by dozens of percent.
